Generative AI has quickly become a part of daily work life for millions of employees around the world, but the growing use of tools like ChatGPT is now raising alarms about data security and corporate privacy. A new study from security firm LayerX has revealed that many employees are pasting highly sensitive information directly into AI chatbots without realizing the risks this behavior creates for enterprises. From personally identifiable information to payment card details and confidential corporate files, employees appear to be exposing company secrets in the name of productivity. The findings raise critical questions about how businesses can secure themselves in an age when personal AI usage is outpacing official enterprise tools.
The report suggests that nearly half of enterprise employees are now using generative AI platforms, and among them more than three quarters admit to copying and pasting company information into prompts. Even more concerning, more than one fifth of these actions include highly sensitive personal or financial data. Since most of these interactions come through personal accounts, enterprises are left with virtually no visibility into what their staff are doing or which data is leaving the organization. This creates a perfect blind spot for data leakage, compliance violations, and even potential geopolitical consequences when data touches AI models developed outside the United States.

The study also revealed that about 40 percent of file uploads to generative AI platforms contained sensitive data, while close to 40 percent of those uploads originated from unmanaged accounts. This shadow IT behavior is not only dangerous but also difficult to control because employees often turn to personal logins and free services rather than waiting for their company to officially sanction or license an AI tool. The result is an expanding gap between enterprise IT policy and employee behavior, with generative AI sitting at the heart of the problem.
Experts warn that the consequences are not hypothetical. In 2023, Samsung made global headlines when it temporarily banned staff from using ChatGPT after an employee uploaded proprietary code to the chatbot. Similar incidents can have long-lasting effects, ranging from reputational damage to intellectual property loss and potential regulatory penalties. Enterprises also fear that leaked data could be used to train AI models without authorization, further amplifying the risks.

The competitive landscape also plays a role in this story. Despite Microsoft’s deep integration of Copilot into the Microsoft 365 suite, the LayerX study found that ChatGPT dominates enterprise AI usage. More than nine in ten employees report using ChatGPT compared to far lower numbers for alternatives like Google Gemini, Anthropic’s Claude, or Microsoft Copilot. In fact, Copilot adoption sits around only two percent, highlighting that despite its corporate backing, employees overwhelmingly prefer ChatGPT for its accessibility, versatility, and ease of use.
Shadow IT, however, is not limited to AI tools. Employees are equally likely to use unauthorized versions of communication apps, online meetings, and customer relationship management tools. The LayerX report suggests that this is part of a broader cultural shift where employees select tools that fit their immediate needs rather than those officially approved by their IT departments. This behavior complicates corporate security efforts and reinforces the need for leaders to implement strict Single Sign-On enforcement across all critical applications.

The global nature of the issue makes it more complex. With employees in industries ranging from finance to healthcare and semiconductors, the risks span multiple sectors and regions. Organizations now face a new reality where security measures must account for employees who are not only bringing their own devices but also their own AI tools into the workplace.

Businesses must confront a growing security dilemma where the most popular tools are not the officially sanctioned ones.
